Let's talk privacy
Privacy policies can read like a maze of legalese. Here is our promise: we will keep this straightforward and as jargon-free as we can. It covers how we handle your information, and your patients' information, when you use anything Co-Kinetic makes. Trust is the backbone of a good clinic and patient relationship, and we aim to earn the same trust from you.
Last updated . Co-Kinetic is a trading name of Centor Publishing Ltd, registered in England, and a registered data controller with the Information Commissioner's Office (ICO).
What we collect, and why
If you run the free AI visibility check
You give us your website address, your name, your email, your country and, if you choose, a phone number. We use the website address to run the check, and the rest to send you the result and the follow-up emails that explain it. We read your public website the way a search engine or an AI tool does; we do not need, and do not ask for, access to your site, your analytics or your Google account. Your result is published at a private link that only you receive.
If you buy the Website & AI Visibility Review or subscribe to the Clinical Content System
We hold your contact and billing details, the details of your clinic and your clinicians that you give us or that are public on your website, everything we measure about your website and your AI visibility, the content plan, and the content written for you. Payment card details go straight to our payment provider and never touch our servers.
If you use the Clinic Growth Hub
We hold your account details and, on your behalf, the contacts you add and what they do with what you send: opens, clicks, survey answers, sign-ups, redemptions, and the performance of the social posts you share through the platform, including clicks on the resources you share. That is what makes the reporting work, and it is yours. More on your patients' data below.
If you just visit this website
Our pages record how they are used: which sections are reached, which buttons are clicked, how far people scroll, which questions are opened, and what is asked of the "Ask about this business" panel. None of that identifies you unless you choose to give us your details, and we use it to make the pages clearer. Our site is run on our own platform, Coki, which may set a cookie to remember a conversation with the answer panel. We do not run third-party advertising cookies.
What we never do
We will never sell your data, or your patients' data, to anyone. Not to advertisers, not to data brokers, not to anyone.
How we use it
To do the thing you asked for: run the check, write the review, plan and write your content, send your campaigns. To make our services better by understanding how they are used. To send you things we think you will find useful, which you can stop with one click at the foot of any email. And to keep our records straight for tax and the law.
AI tools
Our systems use large language models to read websites, measure AI visibility and draft content. When they do, they are given what is needed for that job, which is public web content and the clinic information you have provided. We do not feed your patients' personal details to any AI model, and nothing you give us is used to train anyone else's model.
Your patients' data
When you bring your contacts into the Clinic Growth Hub, or collect new ones through our forms, surveys and sign-up pages, you are the data controller and we are your processor. We hold that data to run your marketing and give you the reporting, and for nothing else. You decide who is on your lists, what they are sent, and when they are removed; the tools for recording what people agreed to, for unsubscribing and for removing people from your lists are built in, and we honour every unsubscribe automatically, on every kind of email you send. If you leave, you can export your list and we erase your account and everything in it.
Our content never asks a patient for health information through a marketing form, and we ask you not to either. Where you capture health-related answers in a survey, that is sensitive data under the law and your responsibility to justify; our tools let you keep it separate.
Your rights, and how to use them
You can see what we hold about you, correct it, have it deleted, take a copy of it, or ask us to stop using it in a particular way. Email us and we will do it. The one caveat: while you have an active subscription we need to keep the records that run it until it ends. Because we are UK-based and ICO-registered, you have the full set of UK GDPR rights, and if you are in the EU, Australia, Canada, New Zealand or the USA, the equivalent rights under your own law. If you are unhappy with how we have handled something, you can complain to the ICO as well as to us; we would rather you told us first.
How long we keep things
Free check results and the emails about them, for as long as they are useful to you, and we delete them on request. Customer records, for the life of your account and then as long as the tax rules require. Website usage data, in aggregate only, indefinitely; nothing in it identifies you.
